So you've taken the time to study the wide range of Societies that CIT has to offer and believe that your interest isn't catered for. Why not start a new Society to cater for your interest and provide a forum for others with this same interest to meet and interact? To ensure a successful Society a focus on both efficient organisation and the importance of fun and enjoyment is necessary. If you want to set up a Society in the Institute, which will be recognised by the Societies Board there are certain steps that need to be followed.

How do I form a Society?

It's not that difficult!

  1. The first step is to find out if this or a similar Society already exists
  2. Contact the Societies Offices to discuss your ideas. They will help you to organise your first meeting. They might also know of others who have expressed an interest in the same idea as you have.
  3. Set up a stand on Societies Day (usually late September) to find out if others are interested. If you have missed this day don’t worry, it’s still not to late.
  4. Call a preliminary meeting of the interested people. Advertise this as much as possible to gain maximum interest. Objectives of this initial meeting are to:
    1. Ascertain the level of interest in the Institute for the new Society.
    2. Elect a committee who will work to bring your plans into action.
    3. Set a plan of events for the coming year.
  5. Call you first Committee meeting with the newly elected members
    1. Set a scedule for your events
    2. Complete the Budget Request Form
    3. Complete a constitution to propose at your next Society General Meeting
  6. Submit your Schedule and Budget Request form to the Societies Office
  7. Set up a Budget meeting date.
  8. Don't hesitate to ask for help or advice at any stage!!

How do I fund a Society?

Funding for Societies comes from the student capitation via the Student Services Finance Committee. A budget form must be completed and returned to the Societies Office. Details of your proposed expenditure for the year should be as realistic as possible. Throughout the year expenses must be submitted to the Societies Officer for approval of the day to day running costs of your Society.

What does a committee do?

The Society committee exists to provide for the democratic day to day management of the Society on behalf of the Society members. Committee membership provides valuable opportunities to learn a wide range of practical knowledge and skills in areas such as leadership, management, administration and communication.

  • The committee is responsible for planning Society meetings/events and ensuring the tasks involved in the day to day management of the Society are carried out on behalf of the Society members. The committee should have a Chairperson, Secretary, Treasurer and PRO and as many committee members as the Society believe necessary.
  • The Chairperson's responsibility is to provide proper democratic management and leadership of Society meetings and other Society activities. Some of the most basic functions include putting the constitution into practice, chairing Society meetings, organising action to carry out decisions taken at meetings and promoting effective working relationships within the Society.
  • The Secretary exists principally to keep an official record of the Society affairs especially the minutes of meetings and to deal with all correspondence on behalf of the Society.
  • The Treasurer is responsible for the Society accounts, to keep safe those funds on behalf of the Society and to report on the accounts at regular intervals to the Society or other relevant bodies.
  • The Public Relations Officer is there to inform particular groups and the public in general through the news media and otherwise. Students are informed about events through the online Societies website, submissions to 'What's On' & Explicit magazine, notice boards & TV screens, text messaging service.
